A sample review should confirm the exact product, dimensions, materials, attachment details, workmanship and packaging scope that matter to the intended order. This checklist helps wholesale buyers record observations and unresolved questions before approving a bulk-order specification.

Define what the sample is meant to confirm

Before requesting a sample, list the decisions it must support. These may include product dimensions, interface or attachment details, material and color, included components, logo position, label content and packaging format. A sample cannot resolve a requirement that was never stated.

Eight checks for a useful sample review

1. Product identity

Record the product URL, SKU, version, color and date received. Photograph the sample label and included components so the reviewed item can be matched to the written quotation.

2. Critical dimensions

Measure the dimensions that affect the intended application. For mounts, holsters and accessories, identify the exact interface or fit question instead of accepting broad compatibility wording.

3. Materials and construction

Compare the supplied material description, visible construction, seams, edges, fasteners and attachment points with the agreed requirement. Mark anything that still needs supplier confirmation.

4. Operation and adjustment

Check that closures, straps, buckles, adjustment points or moving parts operate consistently for the intended review. This is an observation, not a substitute for regulated or laboratory testing.

5. Included components

List every included and excluded item. Similar catalog photographs may show accessories that are not part of the quoted scope.

6. Logo and labeling

Confirm artwork version, placement, size, color and legibility. Check barcode, product label and carton-mark data against the buyer-approved files.

7. Packaging

Record the unit pack, protective materials, inserts, labels and carton arrangement represented by the sample. Confirm whether bulk-order packaging will use the same approved specification.

8. Open questions

Separate accepted points, requested changes and buyer-side compliance questions. Do not treat silence or a visual assumption as written approval.

Use category-specific measurements

For bags and pouches, record external and useful internal dimensions, closure type, attachment layout and included dividers or straps. For holsters and mounts and rails, grips and adapters, identify the exact dimensions and interface that require confirmation.

For optics and sight accessories, document the referenced device or interface without assuming universal compatibility. For slings and magazine accessories and tactical accessories, record attachment method, adjustment range where relevant, materials and included hardware.

Keep sample observations separate from formal testing

A buyer may inspect appearance, measurements and basic operation, but those observations should not be described as certification, durability testing or proof of destination-market compliance. If a regulated standard, test report or certification is required, identify the document and responsible party separately and verify it with an appropriate qualified source.

Record changes before bulk approval

When a sample needs changes, issue a numbered list with photographs or marked drawings. Ask for written confirmation showing which points will change, which remain the same and whether another approval sample or artwork proof is needed. The final bulk-order reference should identify the approved version and date.
