A clear request for quotation helps suppliers confirm the right product, avoid assumptions and return a more useful commercial response. This checklist is designed for distributors, retailers and project buyers sourcing catalog products, packaging options or item-specific customization.
Start with the exact product reference
Include the product URL, SKU when shown, reference photo or an existing sample description. Similar-looking pouches, mounts, slings and bags can differ in dimensions, materials and attachment systems. A link is more reliable than a short product name.
Compare the bags and pouches, rails, grips and adapters, holsters and mounts, optics accessories, slings and magazine accessories or tactical accessories catalog pages.
Eight details to include in an RFQ
1. Required quantity
State the estimated quantity per item and whether the request is for a sample, trial order or planned repeat purchase. MOQ and quotation structure are product-specific.
2. Destination
Provide the destination country and, when useful, city or postal code. Shipping feasibility, documents and import responsibilities depend on the product and destination.
3. Dimensions and fit
List the critical measurements, interface, device size or attachment standard. Do not rely only on words such as universal or standard.
4. Material and construction
Identify required fabric, polymer or metal type only when it is a real purchasing requirement. Ask the supplier to confirm what is available for the referenced item.
5. Color and finish
Specify acceptable colors, coating or camouflage pattern, together with any matching requirement across multiple products.
6. Logo and labeling
Describe the logo method, artwork format, label location and any country-of-origin or retail-label information you require. Feasibility and MOQ must be confirmed.
7. Packaging
State whether standard bulk packaging is acceptable or whether you need individual bags, cartons, inserts, barcodes or buyer-supplied artwork.
8. Required checks or documents
List any inspection points, photos, samples, declarations or destination-market documents that must be reviewed before shipment. Availability is not assumed.
Questions buyers should avoid leaving open
Confirm whether quoted prices should cover one item or a set, whether accessories are included, which size or variant is required, and whether the quotation should include a shipping option. If compatibility matters, provide the relevant dimensions or interface rather than asking for a blanket fit guarantee.
Sample and customization planning
A sample can help confirm dimensions, appearance or packaging before a larger order, but sample availability, fees and shipping are confirmed per item. Logo, color and packaging requests should be treated as separate feasibility questions.
