Wholesale Buying Guide

The lowest number on a quotation is not always the lowest comparable cost. Buyers need to check whether product specifications, packaging, inspection scope, shipping basis and exclusions are aligned before comparing supplier responses.

First make the quotations comparable

Place each response beside the same requirement list. Use the exact product link or SKU, quantity by variant, dimensions or interface, material, color, branding, packaging and destination. If one supplier quoted a standard item while another included a logo, individual packaging or a shipping option, their totals do not represent the same scope.

If the original request is still incomplete, use the tactical and outdoor products RFQ checklist before asking suppliers to revise their offers.

Eight fields to compare line by line

1. Product identity

Confirm the product URL, SKU, version, size, color and included components. Similar names or images do not prove that two quoted items are equivalent.

2. Specification scope

Compare the stated dimensions, material, construction, attachment or interface details and requested finish. Mark every requirement that is silent or subject to confirmation.

3. Quantity and MOQ

Check quantity per SKU, color and size, not only the combined order quantity. Separate standard-product MOQ from any customization or packaging requirement.

4. Unit-price basis

Identify the currency, quoted quantity tier, included accessories, packaging and tax treatment where applicable. Record how long the quotation remains open rather than assuming a price is permanent.

5. OEM and packaging

Confirm whether logo application, labels, barcodes, inserts, retail boxes and carton marks are included, excluded or awaiting artwork review.

6. Samples and checks

List any sample, artwork proof, measurement check, packaging check, photos or pre-shipment review that is part of the written scope.

7. Shipping quotation scope

Determine whether freight is excluded, estimated separately or included to a named destination. Ask which party is responsible for import clearance, duties, taxes and destination charges.

8. Exceptions and assumptions

Read notes and exclusions carefully. An unanswered requirement should remain open; it should not be treated as accepted merely because it was included in the RFQ.

Check product fit before comparing price

For holsters and mounts, rails, grips and adapters and optics accessories, compare the critical interface and measurements rather than relying on broad compatibility wording. For bags and pouches, slings and magazine accessories and tactical accessories, record dimensions, attachment method, material and included parts that affect the intended use.

When information is absent, request item-specific confirmation. Do not convert a catalog description into a guarantee that was not written into the quotation.

Compare packaging and labeling as a separate cost scope

A unit price may cover bulk packing, while another may include an individual bag, printed box, barcode label or insert. Use a separate row for each packaging component and show who supplies the artwork and barcode data. Do not compare an estimated freight figure as a fixed landed cost

Record the destination, shipping method, quoted scope and date of each freight proposal. Product type, shipment size and routing can affect feasibility and cost. Import clearance, duties, taxes, permits and destination charges should be assigned to the responsible party in writing. Buyers should verify destination-market requirements independently.

Use a clarification register

Create three columns for every open point: requirement, supplier response and final written status. Useful statuses include confirmed, alternative proposed, awaiting sample, awaiting artwork, excluded and buyer to verify. This keeps an attractive headline price from hiding unresolved specifications.
