MOQ, packaging and labeling are connected purchasing decisions. Preparing them together helps a supplier review feasibility, quote the correct scope and identify details that still require written confirmation.

What MOQ means in a wholesale inquiry

Minimum order quantity is the smallest quantity a supplier can confirm for a specific product and order configuration. It is not necessarily one fixed number across a catalog. The item, color, logo method, packaging format and artwork requirements can each affect the quantity that is practical to quote.

For that reason, buyers should not ask only, “What is your MOQ?” A more useful question identifies the exact product URL or SKU, quantity per variant, destination, customization request and packaging requirement.

Four MOQ scenarios to separate

Standard catalog item

Ask for the MOQ and quotation for the product in an available standard configuration. Include the required color and quantity per item.

Logo customization

State the proposed logo method and position. The applicable MOQ depends on the item and customization method and must be confirmed in writing.

Custom packaging

Individual bags, printed boxes, inserts, barcode labels and carton marks may have different setup or quantity considerations. List each component separately.

Mixed-product order

Provide quantity by SKU rather than only a combined total. Ask whether different products or colors can be combined for the proposed order.

Prepare the product list before discussing packaging

Start with a simple table containing the product link, SKU when shown, quantity, color, size or interface, logo request and proposed packaging. Product-specific details matter across bags and pouches, holsters and mounts, rails, grips and adapters, optics accessories, slings and magazine accessories and tactical accessories.

If fit or compatibility is important, include measurements, interface details or a reference sample. Packaging artwork cannot correct an unclear product specification.

OEM packaging information to specify

Unit packaging

Clarify whether bulk packing is acceptable or each product requires an individual bag, plain box, printed box, header card, insert or other format.

Artwork and print

Provide editable artwork when available, intended colors, print position and finished dimensions. The supplier should confirm the usable template and production file requirements.

Barcode and item data

List the barcode type, number source, SKU, product name, variant and any buyer-provided text. Buyers should verify ownership and accuracy of supplied codes.

Outer carton marks

State the purchase order number, item number, quantity, destination marks and any handling symbols that must appear on the shipping carton.

Labeling checklist for buyers

Label requirements depend on the product and destination market. Before requesting a quotation, identify which information is required on the product, unit package and outer carton. Possible buyer-specified fields include brand name, model or SKU, material or care information where relevant, size or color, barcode, importer information and country-of-origin wording.

Do not assume that a generic label satisfies legal or marketplace requirements. The buyer or importer should identify applicable destination-market rules and provide approved wording. Ask the supplier to confirm only what can be applied to the specific product and packaging.

Logo files and brand controls

Send vector artwork such as AI, EPS, SVG or print-ready PDF when possible, plus color references and a placement diagram. For embroidered, woven, printed, engraved or molded branding, request written confirmation of the available method, size limits, color handling, sample process and any setup considerations.

Only submit artwork and trademarks that your organization is authorized to use. Keep the approved artwork version with the purchase record so later revisions can be identified.

Samples and approval points

Ask whether a standard product sample, a logo sample, packaging proof or a completed pre-production sample is appropriate for the project. Availability, cost and timing are product-specific. Define the approval points in advance: product specification, color, logo position, label text, barcode readability, packaging dimensions and carton marks.

Ask the supplier to identify which items are confirmed, which remain subject to sample or artwork review, and which are not available. The final scope should be based on the written quotation or order agreement.
